The educational institutions (schools, colleges, coaching centers) that subscribe to our services are the Data Fiduciaries (Controllers). We process student, parent, and staff data strictly on behalf of and under the instructions of the authorized institution.

2. INFORMATION WE COLLECT

We only collect information necessary to provide and improve our educational management services:

Institutional Data: Name, address, contact details, and billing information of the subscribing institution.
End-User Data: Information entered into the MINERVA platform by the institution, which may include student profiles, parent contact details, employee records, attendance, academic scores, fee transaction records, and biometric logs.
System & Usage Data: IP addresses, browser types, device information, and application usage logs automatically collected to ensure system security and optimize performance.

3. HOW WE USE YOUR INFORMATION

Beebasoft uses the collected data exclusively for the following purposes:

To provide, operate, and maintain the MINERVA ERP platform and mobile applications.
To facilitate communication (e.g., SMS, email, WhatsApp alerts) between the institution and its stakeholders.
To provide customer support and technical assistance to institutional admins.
To send direct marketing materials (like new module updates or pricing plans) only to institutional administrators who have opted in. End-users (students/parents) will never receive marketing from Beebasoft.

4. DISCLOSURE AND SHARING OF DATA

We do not and will never sell, rent, or trade personal data or student records to third parties. We only share information under the following limited circumstances:

Service Providers: We may share data with trusted third-party infrastructure providers (e.g., secure cloud hosting, payment gateways, WhatsApp/SMS API providers) strictly to facilitate MINERVA's functionalities. These partners are bound by strict confidentiality agreements.
Legal Requirements: If required by law, court order, or government regulation, we may disclose information to law enforcement or regulatory authorities.
Business Transfers: In the event of a merger, acquisition, or sale of assets, customer information may be transferred under a strict non-disclosure agreement.

Because the educational institution is the Data Controller, parents, students, and staff seeking to access, correct, or delete their personal information should contact their institution's administration directly. Beebasoft will promptly assist the institution in fulfilling these legitimate requests.
